Senior Program Associate

The Virginia American Revolution 250 Commission (VA250), a legislative agency leading the planning and implementation of Virginia’s statewide commemoration of the 250th anniversary of the founding of our nation, seeks a Senior Program Associate to develop, coordinate, and implement education programs and events.

The Senior Program Associate will play a key role in planning and executing a wide range of impactful statewide events and educational programs. Working closely with state officials, partner organizations, and community stakeholders, the Senior Program Associate will develop programming that aligns with the Commission’s goals and vision, promotes civic engagement, and ensures broad participation across diverse communities. This position requires strong planning skills, a collaborative mindset, and a passion for creating meaningful and memorable experiences.

Key Responsibilities:

Event Planning and Execution

  • Develop and manage a calendar of events, including educational programs, cultural celebrations, and public ceremonies.
  • Coordinate logistics such as venue selection, permits, transportation, catering, and technical needs.
  • Manage and track event budgets in coordination with CFO, ensuring cost-effective planning and resource allocation
  • Prepare contingency plans to address potential challenges during event execution. 

Stakeholder Collaboration

  • Build and maintain relationships with local governments, cultural institutions, schools, and community organizations.
  • Facilitate partnerships with sponsors, vendors, and volunteers to support event success.
  • Engage diverse community groups to ensure representation and inclusiveness in programming.

Content Development

  • Assist in designing themes, activities, and materials that align with the commission’s mission and goals.
  • Collaborate with historians, educators, and subject matter experts to ensure historical accuracy and relevance.
  • Develop promotional content in coordination with the communications team to boost public engagement.

Project Management:

  • Create detailed project plans and timelines to guide event preparation and execution.
  • Monitor progress and report on key performance indicators to stakeholders.
  • Ensure compliance with state and federal regulations governing public events.

Evaluation and Improvement

  • Collect feedback from attendees and stakeholders to assess the impact of events.
  • Analyze data to identify areas for improvement and inform future programming.

Qualifications:

  • Bachelor’s degree in a related field (Master’s degree preferred).
  • Minimum of 5 years of experience in event planning, program management, or a related role.
  • Demonstrated success in managing large-scale public events.
  • Strong organizational and project management skills, with attention to detail and deadlines.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with a diverse range of stakeholders.
  • Proficiency in event management software and Microsoft Office Suite.
  • Passion for history, civic engagement, and community-building.

Preferred Qualifications:

  • Experience working with government agencies or non-profit organizations.
  • Knowledge of the historical and cultural significance of the nation’s semiquincentennial.
  • Multilingual skills are a plus.

Work Environment:

This position will require occasional evening and weekend work to attend events and meetings. The position is based in Richmond, VA with a hybrid telework schedule. Some travel within the state will be necessary.

Events Coordinator

The Virginia American Revolution 250 Commission (VA250), a legislative agency leading the planning and implementation of Virginia’s statewide commemoration of the 250th anniversary of the founding of our nation, seeks a highly organized and detail-oriented person to assist in the planning, coordination, and preparation of VA250’s robust calendar of signature events and programs planned for 2025 and 2026.

Key Responsibilities:

  • Event Registration: Manage event registration processes, including the creation and update of forms. Maintain registration reports and attendee lists as requested.
  • Calendar Management: Maintain and update the mobile exhibition and events calendar, ensuring all events and programs are accurately reflected
  • Event Planning: Assist in management of all planning timelines, coordination of vendors, correspondence with various stakeholders
  • Meeting Materials: Coordinate & prepare event materials including general supplies, marketing materials, badges, meeting materials (documents, agendas, etc.), and signage to events as needed
  • On-site Event Management: Provide on-site support during events, including managing registration desks, coordinating with vendors, and assisting with event setup and breakdown
  • Post-Event Responsibilities: Assist in post-event evaluation and analysis, including the collection and analysis of attendee feedback
  • Administrative Tasks: Perform general administrative duties, including answering phones, managing emails, and other tasks as assigned
  • General Support: Provide administrative support to programs and communications departments, assist with special projects and other duties as required helping to execute and advance the goals of VA250
  • The coordinator will manage multiple projects with minimal supervision and manage multiple tasks efficiently

Qualifications

  • Bachelor’s degree in event management, hospitality and tourism management or the equivalent combination of education, training, and work experience in events.
  • The ideal candidate for this position is a hard-working experienced individual who can excel in a very fast-paced environment
  • The position requires strong interpersonal, writing, and oral communication skills
  • Very detail oriented
  • Strong communication and organizational skills are a must
  • Ability to multi-task when coordinating multiple priorities

Copywriter, Editor, and Proofreader

The Virginia American Revolution 250 Commission (VA250), a legislative agency leading the planning and implementation of Virginia’s statewide commemoration of the 250th anniversary of the founding of our nation, seeks a highly skilled and detail-oriented Copywriter, Editor, and Proofreader.

The Copywriter, Editor, and Proofreader will ensure the accuracy, consistency, and professional polish of all written materials produced by the organization. This role plays a critical part in upholding the Commission’s standards of excellence in communication. Candidates with desktop publishing, layout, and graphics experience are strongly encouraged to apply.

Key Responsibilities:

Editing and Proofreading

  • Review all written materials, including reports, press releases, newsletters, marketing content, and internal documents, for grammar, punctuation, spelling, and formatting errors.
  • Ensure consistency in tone, style, and brand voice across all communications.
  • Verify accuracy of information and adherence to organizational guidelines.

Copywriting

  • Draft clear, compelling, and professional content for a variety of audiences, including government officials, stakeholders, and the public.
  • Collaborate with departments to develop concise and engaging messaging for key initiatives and projects.

Project Coordination

  • Manage multiple editing and review assignments simultaneously while adhering to deadlines.
  • Work closely with team members across departments to finalize documents efficiently.

Quality Assurance

  • Serve as the final checkpoint for all public-facing materials to maintain the Commission’s professional image.
  • Recommend and implement improvements to editorial processes and workflows.

Desktop Publishing and Layout(Preferred)

  • Assist with the design and formatting of documents and materials using desktop publishing software.
  • Collaborate with graphic designers to integrate text and visuals seamlessly.

Qualifications:

The ideal candidate will demonstrate proven experience in copywriting, editing, and proofreading; exceptional attention to detail; a high level of accuracy and consistency; a strong command of grammar, spelling, and style conventions; and excellent organizational and time-management skills. Preferred skills include experience with desktop publishing tools (e.g., Adobe InDesign, Microsoft Publisher); graphic design principles and tools (e.g., Canva, Adobe Illustrator); and an understanding of layout and formatting best practices.
